What Is EQS
EQS is a unified equine intelligence platform that brings together performance records, pedigree context, and bloodstock sales data in one workflow. Instead of switching between disconnected tools, teams can evaluate horses, compare commercial signals, and act faster with shared context.
- Centralized horse intelligence across performance, sales, and bloodline context.
- Role-focused user experiences for owners, trainers, jockeys, breeders, and bloodstock teams.
- Built-in billing operations for both individual and organization account models.
Roles In EQS
Multi-user access lets your team have different levels of access to your business account.
| Role | Primary Focus |
|---|---|
| Owner | Provides visibility across horses they own, including performance and form tracking, while highlighting potential buying opportunities and notifying them when related horses appear in upcoming sales. |
| Trainer | Provides full visibility of horses in training, with tools to share progress updates and review performance. |
| Jockey | Focuses on ride-related info, race form, results, and personal ride notes for future reference. |
| Breeder/Stud Manager | Manages breeding operations by planning matings, overseeing mares and stallions, tracking pedigree outcomes, progeny performance, nominations, and breeding decisions across seasons. |
| Bloodstock Team /Agent | Researches horses and pedigrees, builds shortlists, and advises buying or selling decisions. |

Role and Account Management
How roles are set
Roles are selected at signup or when inviting members to an organization. In organization teams, an owner can invite users with the required role profile from the People area.
How to switch role
If you need to operate under a different role context, ask the organization owner/admin to update your team setup, or remove you from the organization and then re-invite with the correct role mapping. For individual accounts, contact support for role migration guidance.
How to change account type
Individual users can upgrade to Organization from Settings by submitting business details. This unlocks team management, seats, and org billing controls.
Plans and Plan Changes
What plans are for
Plans control subscription level, billing interval, and the features available to your account. Individual accounts manage this in Settings, while organization owners manage this in Org Admin Billing.
How to change plan
- Open Settings or Org Admin Billing.
- Click Change Plan and choose the new option.
- Review invoice preview (charges, prorations, credits, total due today).
- Confirm payment to apply the change immediately.
Common questions
When does the change take effect? After confirmation, the plan updates immediately.
Can I see cost impact before paying? Yes. Invoice preview shows line-by-line amounts and due today.
Where can I track what happened? Check the Invoices tab/history in your billing pages.
What if I canceled previously? Use resubscribe/change-plan flow to reactivate with checkout where required.
Billing: Individual vs Organization
Individual Billing
- Manage plan in Settings with plan change and invoice preview.
- Cancel or resubscribe directly from Settings flow.
- See renewal date, period, total paid, and invoice history.
- Payment method details and latest invoice links are visible from account billing UI.
Organization Billing
- Use Org Admin Billing tabs: Overview, Seats, and Invoices.
- Change plan, buy seats, downgrade seats, and review invoice previews.
- Track account credit, next invoice, and payment history.
- Seat actions can generate credits that automatically offset future invoices.
Seat Management For Organizations
Upgrade seats
Go to Org Admin Billing or People, choose Buy More Seats, review the invoice preview, then confirm. Any applicable proration and credit are shown before payment.
Downgrade seats
From Org Admin Billing, reduce seats only down to the number currently in use. Unused value from removed seats becomes account credit and is applied to upcoming invoices.
Assign seats to members
In Org Admin People, open a member and toggle seat assignment. You can also manage member status and invitations in the same workspace.
You can unassign a purchased seat from a previous team member and reassign that same seat to another existing member or a newly invited member.
Invoices, Credits, and Payment Timing
Invoice preview is used before major billing actions like plan changes and seat purchases. It shows line items, prorations, credits applied, account credit available, and total due today.
Account credit is automatically considered during proration and future billing. You can review latest invoice links and historical invoices in the billing pages.
For organization workflows, seat increases/decreases and plan updates are reflected in invoice preview first, so owners can confirm exact billing impact before final payment.
Best Practice Checklist
- Set clear roles before inviting team members.
- Assign seats only to active members who need access.
- Review invoice previews before confirming any plan or seat change.
- Track account credit and renewal dates in billing overview.
- Use support tickets for account changes requiring admin intervention.
